Do's & Don'ts of Dictating

Do I talk like that?
Before transcription, discuss any special style preferences to include or avoid. Provide all special instructions at the beginning of the dictation.

Environment.

Place the recorder near the center location of the speakers and ask each person to speak loudly, identify themselves and give correct spelling of their name. If possible, use systems equipped with microphones strategically placed around the table.

Interruptions.

If you are interrupted while dictating, place the system on "pause" or "stop" so the conversation is not recorded. Do not hold a long conversation with others while still dictating, because the conversation will also be recorded and the materials discussed may be of a confidential or personal nature.

Equipment.

Where possible, always use standard cassette tapes for recording audio. Also, record at normal settings instead of 2x or 4x speed. These setting impact the clarity of the recording and may require additional transcription time.

Verbatim Transcripts.

Please let us know if you want a verbatim versus cleaned version of the recording. Verbatim transcripts identify all sounds and false starts:

Verbatim:

Includes laughs, background conversations, etc. and false starts. For example: Well, when, when you get there, if you, if you — you get the picture.

Cleaned Transcript:

Well, when you get there you'll get the picture.
